What is an action plan?
An action plan is a set of tasks, organized into a delivery schedule. It can be created to solve a specific problem. But it is also used to organize the actions needed to solve several problems simultaneously. Therefore, the stock plans are prepared in weekly, fortnightly, monthly, bimonthly, quarterly, half-yearly or annual periods.
How does 5 Ideias Consultoria prepare action plans?
Our company uses the PDCA methodology, grouping our actions into four cyclic phases until the problem(s) is(are) solved. But let's understand each one of them below:
1st STAGE - Plan:
1. Plan with PATIENCE to see it through to the end:
The purpose of this step is to describe:
- what will be done;
- how actions should be performed;
- who will be responsible for each action;
- and when each action should be completed.
But this stage is divided into 3 (three) steps:
1.1. Diagnose:
1.1.1. List all issues;
1.1.2. Identify people who can be a source of information.
1.2. Measure:
1.2.1. Schedule meetings to gather information;
1.2.2. Collect as much information as possible from all the problems listed;
1.2.3. Implement emergency actions to contain the identified problems;
1.2.4. Monitor the processes that generate problems with a focus on quantifying the results.
Note: In some situations, it is not possible to identify the root cause of problems. So we need to monitor the processes to identify why problems occur.
1.3. To analyze:
1.3.1. Analyze the collected information;
1.3.2. Develop a schedule of proposals for actions focused on solving problems;
1.3.3. Present an action plan to the client (contractor);
1.3.4. Negotiate the signing of the service provision contract;
1.3.5. Proceed to the next step.
2nd STAGE - Driving:
2. Distribute to those with the PASSION to do good:
The biggest challenge in executing action plans is the team's resistance to change. Therefore, it is essential to involve employees in the execution of the action plan.
2.1. Responsible:
2.1.1. Identify who will be responsible for each action, described in the plan, including the consultancy and the partners;
2.1.2. Explain the actions to those responsible.
2.2. To execute:
2.2.1. Listen to the opinions and suggestions of those responsible;
2.2.2. Allow those responsible for the actions to test their suggestions.
Note: Employees must feel like part of the solution. Thus, we reduce resistance to change.
3rd STAGE - Check:

Many companies know how to develop action plans to solve operational problems. But most of them fail to follow up on actions. Because, when thinking about an action, it is necessary to define which numbers will be used to measure the results.
3.1. to control:
3.1.1. Define how to measure the results of each process (source of problems);
3.1.2. Agree with the consultancy on the period (weekly, biweekly or monthly) for monitoring the action plan;
3.1.3. Justify the actions that were not completed within the planned period;
3.1.3.1. Schedule a new delivery deadline for actions not completed on time;
3.1.4. Analyze the results of actions delivered on time;
3.1.5. Propose additional actions to adjust the action plan focusing on expected results.
3.2. to assess:
3.2.1. Evaluate the information collected during the execution of the action plan;
3.2.2. Proceed to the next step.
4th STAGE - Act:
4. Decide with PERSISTENCE to do it again:
Now it's time to decide if the actions solved the problem or not.
4.1. Standardize:
4.1.1. Identify the results of the processes, after solving the problems;
4.1.2. Develop standardization manuals when necessary;
4.1.3. Train the team in the execution of the new process.
4.2 Reassess:
4.2.1. Collect information to understand why the planned actions did not solve the problems;
4.2.2. Define new actions to seek solutions to problems;
4.2.3. Create actions until you solve all problems.
